This Privacy Policy describes how Ric Platform Services, LLC (“Ric,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use ricbenefits.com and related services (the “Services”).

1) Scope and Relationship Context

The Services support employer-sponsored insurance or benefit programs distributed through Business Customers and Producer Partners.

This Policy applies to information collected through the Services when you:

• visit our Site,
• request information as a Business Customer or Producer Partner,
• access the Services as a Workforce Member in connection with a Business Customer’s program (for example, eligibility, enrollment, administration, claims, or payouts where applicable),
• communicate with us.

This Policy does not apply to third-party websites or services that we do not control.

2) Information We Collect

We may collect the following categories of information:

A. Business customer and producer partner information

• business contact details (name, business email, business phone, company name, job title)
• account credentials and role-based access information (if you have an account)

B. Workforce member information (as applicable)

• identifiers and contact details (name, email, phone number, mailing address)
• employment and eligibility information provided by a Business Customer or administrator (for example, employee identifier, work location, eligibility status)
• program and insurance-related information necessary to administer the program (for example, covered location address, enrollment elections, beneficiary or dependent details if applicable)

C. Claims, payouts, and payments (if applicable)

• information necessary to support a claim or payout process (as defined by the program and policy)
• payment or payout details, such as bank account information for payouts or payment credentials processed via a Payment Vendor
• transaction records and confirmations (for example, payment status, timestamps, and transaction identifiers)

D. Communications

• messages, forms, support requests, and similar communications

E. Automatically collected information

• device and usage data (IP address, browser type, device identifiers, pages viewed, referring URLs, timestamps)
• cookies and similar technologies

F. Third-party sources

• Business Customers, Producer Partners, administrators, carriers, reinsurers, and service providers (as needed to operate programs)
• data providers used for parametric triggers or location verification, where applicable

3) How We Use Information

We use information to:

• provide, operate, and improve the Services,
• administer Business Customer programs and support Producer Partner workflows,
• verify identity, eligibility, and program participation,
• quote, place, and service insurance programs where applicable,
• process claims, payouts, and payments where applicable,
• communicate with you (transactional notices, program updates, customer support),
• maintain security, troubleshoot, audit, and prevent fraud,
• comply with legal obligations and enforce agreements.

4) How We Disclose Information

We may disclose information to:

• Insurance carriers and related parties to quote, bind, service, administer, and support claims or payouts, as applicable,
• Business Customers and administrators for eligibility, enrollment, program administration, auditing, and reporting as permitted by law and contract,
• Producer Partners as needed to provide Services, subject to program design and applicable law,
• Service providers (hosting, analytics, customer support, communications, security),
• Payment Vendors that process payments or distribute payouts,
• Legal and compliance recipients (regulators, law enforcement, courts) when required or permitted by law,
• Business transfers (merger, acquisition, financing, or asset sale), subject to appropriate protections.

We do not sell personal information for money.

5) Payment Processing Vendors (If Applicable)

If you make payments or receive payouts through the Services, Ric uses Payment Vendors to process transactions and distribute funds. Payment Vendors may collect and process information such as payment credentials or bank account details.

Ric may receive limited information from Payment Vendors, such as payment confirmations, transaction identifiers, timestamps, and partial account details (for example, last four digits), as permitted by law and contract. Ric does not control Payment Vendors and is not responsible for their privacy practices or security. Your use of Payment Vendor services is subject to their terms and privacy policies.

6) Insurance and Financial Privacy (GLBA and Related Laws)

As an insurance producer and program administrator, Ric may collect information that is considered nonpublic personal information under U.S. financial privacy laws (including the Gramm-Leach-Bliley Act) and related state insurance privacy requirements. Where applicable, we limit use and disclosure of such information as permitted by law, such as to service a transaction, administer a program, prevent fraud, comply with legal obligations, or as otherwise authorized.

7) Cookies and Tracking; Choices

We and our service providers may use cookies and similar technologies to:

• operate and secure the Services,
• remember preferences,
• understand usage and improve performance,
• measure marketing effectiveness (if used).

You can control cookies via browser settings and, if implemented, through our cookie preference tools. Blocking cookies may affect functionality.

8) Data Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect information. No system can be guaranteed to be 100 percent secure.

9) Data Retention

We retain information as long as reasonably necessary to provide the Services, administer programs, comply with legal and regulatory requirements (including insurance record retention where applicable), resolve disputes, prevent fraud, and enforce agreements.

10) Your Rights and Requests

Depending on where you live and the context, you may have rights to request access, correction, or deletion of certain information, subject to legal exceptions (including insurance and financial recordkeeping obligations).

If you are a Workforce Member, certain information may be controlled or provided by your Business Customer (for example, eligibility files). In those cases, we may direct you to your employer or plan sponsor to make updates.

To submit a request, contact us using Section 12. We may need to verify your identity.

11) State Privacy Disclosures

Some U.S. states provide additional privacy rights. Where those laws apply, we will provide required disclosures and honor applicable rights, subject to legal exceptions.

12) Not Intended for Unaffiliated Use by Children

The Services are intended for Business Customers, Producer Partners, and Workforce Members accessing the Services through a Business Customer-sponsored program. We do not knowingly collect personal information from children under 13 through the Services. If you believe we have collected such information, contact us and we will take appropriate steps.
